  Year-End W-2 FAQs for Former Employees

  1. When will W-2s be mailed and where will they be sent?

    According to IRS Guidelines, W-2s will be mailed to all Administaff employees paid in the prior year no later than January 31. W-2s are sent to the home address of each employee on record with Administaff as of December 31.

    Employees should ensure that Administaff always has a current mailing address. If you have moved and need to submit an address change, Administaff must have the change submitted in writing. You may fax the Change of Address Notice to 877-605-1541. It is important that you include your name, social security number, new address, effective date, and signature.

  2. What if I've lost my W-2 or I don't receive it?

    Beginning mid-February, you may request a duplicate IRS form W-2 by completing and faxing the Request for Duplicate IRS Form W-2.

  3. How long will it take to receive my duplicate W-2 after it has been requested?

    Beginning mid-February, duplicate W-2s will be issued and sent out twice weekly.

  4. Can I have a W-2 copy faxed or e-mailed to me instead of waiting for it to be mailed?

    We cannot fax or e-mail copies of W-2s because of the high volume of requests.

  5. How many W-2s will an employee receive?

    Most Administaff worksite employees will be provided with one W-2 for wages paid by Administaff. However, if you worked for more than one Administaff client there is a possibility that multiple W-2s will be mailed. If you worked for an Administaff client and Administaff corporate offices, you will receive two W-2s.

  6. I'm a former employee, but my company went out of business. Will that affect my W-2?

    It will not affect your Administaff W-2.

  7. What if there is an error on my W-2 ( i.e., amount is incorrect, state tax problems, etc.)?

    Call the Administaff Corporate office to connect to the W-2 hotline to leave a message and you will be contacted within five business days. (See instructions below).

The W-2 hotline will prompt you for more selections so you can leave a message. You will be contacted with five business days.


  • Stay on the line to have an Administaff representative transfer you to the W-2 hotline between 8:00 a.m. and 5:00 p.m. Central Time.

The Administaff W-2 hotline is a recorded message only and allows a caller to leave the necessary contact information. To ensure that your call will be returned, please speak clearly, leaving your name and telephone number. You may want to leave an alternative phone number as well.
